Accounts Receivable-
Course Description: This training will focus on the accounts receivable process and how the Accounts Receivable application is designed to support the process. This includes basic functions of Patient Registration, Patient Care Component and Third Party billing to demonstrate how those systems affect the claim denials that occur with missing data. The training will also focus on customizing the Accounts Receivable application to suit the needs of the posting and management requirements for the different facilities. An overview of the Manager's menu and reporting is included. Posting and reconciliation processes will also be reviewed.

Prerequisites: Beginning Users with a knowledge of account posting and follow-up.


Advance Fileman-
Course Description:This course is specifically designed for the Site Managers and Programmers. This course will cover as to how to enter M code into print and edit templates, cross-references, and input/output transforms. It also teaches special lookup routines, data screening techniques and how to set deletion nodes to prevent deletion of records. Global file structure and complex data dictionary structures are discussed. Also, included in the training as to how to set up calls to callable M routines and compiling print/sort templates and cross-references.

NOTE: Class not to exceed 12 trainees.


Advanced Site Manager's Training-
Course Description:This course is specifically designed for Advanced Site Managers. This training will cover a wide range of topics including how to resort to a Shadow server when Primary System goes down, Shadowing, Setting up a Cache database, Cache backups, Networking concepts, Mumps Error trapping and other related functions.

Detailed course description to follow.

Prerequisite: Must be a current Site Manager with Cache and RPMS experience.


Third Party Billing & Accounts Receivable-
Course Description: This three-day course is designed for the more advanced user of the RPMS Third Party Billing and Accounts Receivable applications. The user must have at least taken a beginning RPMS Third Party Billing and Accounts Receivable training course to be eligible to take this class. The class will focus on RPMS file structures within RPMS and major issues that have been addressed with the two applications. Basic training will also be provided on Fileman to allow the user to understand how they can run reports based on individual requirements.

Prerequisites: Participants must have taken Basic RPMS Third Party and Accounts Receivable training.


Basic/Intermediate Fileman-
Course Description: Fileman is a database Management system consisting of computer routines written in ANSI Standard Mumps Programming Language upon which all RPMS Software Applications reside. This course will provide Students with 3 days hands’ on experience in all aspects of Fileman terminology, menu structure, database design, file entry/editing; database report output/special formatting; and finally an extensive review of Fileman’s advanced utility features, and hands’ on class assignment. This course is a pre-requisite requirement for the Advance Fileman class. This class is limited to Site Managers and Programmers only.

NOTE: Class not to exceed 12 trainees.


Basic Site Manager’s Training-
Course Description: This course is designed to provide Site Managers with the basic knowledge and skills to manage their facility’s RPMS system on a daily basis. The course will cover basic management functions, utilities, operations, security, and identifying, troubleshooting and resolving common Cache, hardware, and software problems. Trainees will learn the skills to create menus, add new and edit existing users, monitor and tune scheduled RPMS tasks, identify and resolve programming system errors, and manage RPMS devices.
Behavioral Health GUI (Patient Chart)-
Course Description: The course will cover three major modules:
  1. Behavioral Health Data Entry Menu: To add, edit delete, display, or print all data items related to direct client care including chief complaint, diagnosis, intake/assessment, SOAP/progress/discharge notes, treatment planning, and follow-up care.
  2. Report Menu: for tracking and managing patient, provider, and program activities and statistics.
  3. Managers Utilities Menu: For settings, site specific parameters, related to securities, program management and exporting data to the Area Offices and Headquarters.

Behavioral Health System (V3.0)-
Course Description: This course will provide an overview of the Behavioral Health System of the RPMS. The rationale for provider entry of patient data versus data entry by clerical staff will be discussed. Hands-on training will be provided using the different menu options for entering data into the RPMS system. Definitions of the different terms used for correctly coding data for statistical and billing purposes will be provided. The linkage between PCC and the Behavioral Health Module will be reviewed in relationship to concerns about patient confidentiality, statistical reporting, and billing. Options for generating and reviewing health summaries, visits, medications, and updating patient information will be exercised. A brief introduction to treatment planning and report generation will be included.
Behavioral Health Reports and Manager Utilities-
Course Description: This course is intended for those sites that are using BHS v3.0 or BH GUI. It is an advanced class for behavioral health Program Managers and/or Clinical Directors who are responsible for internal and external reports and exporting of behavioral health data.
    It focuses on the Reports and Manager Utilities modules of BHS v3.0
  • Reports Menu: for tracking and managing patient, provider and program activities and statistics
  • Manger Utilities Menu: for setting site-specific parameters related to security, program management and exporting data to the Area offices and HQE
It will also include an introduction to PCC Outputs-Manager, CRS (formerly GPRA +) and ORYX and the relevance and utility of these applications for behavioral health programs.
Clinical Scheduling for Windows (BSDX) – Version 1.0-
Course Description: This course is intended for those sites that are using Patient Information Management System – Scheduling Package. It is designed to provide you with an esay-to-use graphical user interface for your scheduling needs. This package will allow the user to make clinic appointments using a Windows environment. The user will be able to manage clinic appointments using a mouse.
NOTE: Class not to exceed 12 trainees.
Community Health Representative (CHR)-
Course Description:An overview of the entire CHR system will be presented for the student to understand the linkages and capabilities of the CHR. The CHR is designed to capture what service the CHR does, what referral sources were used, and pass the appropriate patient centered information to the patient’s medical record. Use of the CHR allows for local access to the CHR Database by the Tribal Manager. Reports can be created within minutes to meet local special needs or standard reports can be generated for dates specified. The package allows local flexibility to meet data requirements while integrating patient data into their medical record.

A pre-requisite to the CHR PCC training is required and to contact Georgia Butler at (602)364-5161.


Contract Health Management System -CHMS (V 3.1)-
Course Description: The CHMS module is a facility-based automated document and fiscal management system for the IHS Contract Health Services Program. The CHMS is a fully integrated component of the RPMS and utilized shared data files for patients and vendors. The system generates authorizations for payment for CHS and maintains an up-to-date commitment register of all currently obligated and paid CHS funds. CHMS automates document preparation functions including document generation, printing and approval for payment. The application provides for electronic communication of authorization information to the National Data Center and Fiscal Intermediary located in Albuquerque, NM.
IHS System Security-
Course Description: This training is a basic course designed for IHS Site Managers to give them a basic overview of network, system and physical security. The course may include the following topics:
  • Host and Network Based Intrusion Detection Basics, Honeypots, Firewalls and Perimeter Protection Basics, Security Policy Password Management, Security Incident Handling -The Six Steps
  • Information Warfare Network Fundamentals and IP Concepts and Behavior Anti-Viral Tools
  • Windows (2000, XP) Security Administration and auditing Computer attacks
  • Strategies and tools for detecting attacks
  • Physical Security – attacks and defenses for Windows, Unix, switches, routers and other systems
  • Application level vulnerabilities, attacks and defenses
  • Overview of IHS Policies and Procedures

MUMPS Programming for Beginners-
Course Description: This 5 day course teaches the basic MUMPS commands and how to write a simple MUMPS routine. The student will learn to use the Cache routine editor to create and edit routines. Routine structure and good programming practices are discussed. The student will learn how to store and retrieve data and how to read and debug code. The IHS Programming SAC (Standards and Conventions) will be discussed. This course will also introduce the use of the FileMan programmer interface.

Prerequisite: Advanced FileMan

Patient Information Management Software (PIMS)- Scheduling & ADT/SPT Course Description

The Patient Information Management System (PIMS) consists of three modules: RPMS Scheduling package, RPMS Admission/ Discharge/Transfer (ADT) package, and Sensitive Patient Tracking. The Scheduling package creates and maintains the clinic environment; schedules appointments for patient in the various clinics; and generates reports and letters pertaining to those appointments. The ADT package creates and maintains the census and related data for inpatient and day surgery encounters; tracks transfers between wards, other facilities, and specialties; includes the incomplete chart functions; and generates census reports and other reports pertaining to admissions, transfers, and discharges. The Sensitive Patient Tracking (SPT) package contains the security options for assigning, displaying, and purging information related to sensitive patient records.

Objectives
Upon completion of the Scheduling module of this course, participants will be able to:
• Manage appointments for a specific patient or clinic.
-Request multiple patient charts for review without scheduling a patient appointment.
• Display a patient’s appointments for a specified date range.
• Display a clinic’s available appointments for each clinic under a principle clinic.
• View a particular provider’s schedule.
• Manage clinic waiting lists, including adding patients, updating patient information or removing patients.
• Complete the Patient Mini Registration option to register new patients, assign temporary chart numbers and schedule an initial appointment.
• Print routing slips for one individual, all appointments, or add on appointments.
• Generate reports for the medical records department such as locating a chart, a list of chart requests, and a list of routing slips that have been printed.

Upon completion of the Admission/Discharge/Transfer (ADT) and Sensitive Patient Tracking (SPT) modules, participants will be able to:
• Admit, discharge and transfer a patient.
• Enter data into the day surgery module.
• Enter/edit scheduled visits for a patient..
• Add a patient to the Seriously Ill list.
• View data about a patient’s demographics, admissions, day surgeries, and future appointments.
• View a provider’s inpatients, day surgeries, and scheduled appointments.
• Complete coding for inpatient visits.
• Enter and edit patient data related to incomplete charts
• Identify the types of warning messages generated by Sensitive Patient Tracking.

Patient Registration (V 7.1)-
Course Description: The RPMS Patient Registration application is one of the core applications in RPMS that stores and maintains the patient identifying information. Other information that is captured in Patient Registration includes demographic, tribal, mailing addresses, next of kin, veteran status, and third party eligibility information. All of the other RPMS clinical and administrative software applications refer to this system for identifying patients in order to store clinical and administrative data in each patient file. The demographic information captured by the RPMS Patient Registration system is exported monthly to the IHS National Patient Information Resource System in Albuquerque to provide statistical reports to IHS headquarters for reporting purposes.

Prerequisites:Beginning Patient Registration staff and Patient Registration Managers


PCC Data Entry I & II (V 2.0)-
Course Description: The PCC provides for the local collection and storage of a broad range of health data resulting from inpatient, outpatient, and field visits at IHS, Tribal, Referral, and Community Sites on local computers. It supports health care delivery, planning, management, and research. The PCC integrates data from multiple provider groups; features direct linkages with RPMS Clinical Applications by automatically passing selected data; provides planners with a variety of information on visit types and Purpose of visit; facilitates entry and storage of information from multiple health care facilities within and outside the IHS; and sends data to the IHS Data Center in Albuquerque, New Mexico for incorporation into the national IHS statistical databases.

PCC Data Entry I – Operator: This course is designed for personnel who are responsible for entering patient data into the PCC System. Participants will learn PCC operations relative to entry/modification of PCC Data utilizing data entry mnemonics. It will also include new features related to EHR and up to date patches.

PCC Data Entry II – Supervisor: This course is designed for personnel responsible for supervising the PCC data entry function at the field level. Correcting data entry errors, transmission, table updating, and quality of data entry/ management will be covered.
PCC Output Reporting (Qman, Case Management, PCC Management Reports)-
Course Description: This hands-on, interactive course provides a solid overview and detailed instructions for using all the database extraction tools to retrieve data from the PCC Clinical Repository. The Case Management System establishes and maintains patient registers for managing the health care of selected groupings of patients, such as patients who are high-risk or who have special follow-up needs. The Registers allow the User to identify/track information, update clinical factors, and retrieve data pertinent to that particular register. The PCC Management Reports Module provides over 100 Menu Driven Reports for patient care and program management. Reports list/count patient visits from multiple sorting/search criteria through an extensive array of pre-defined data retrieval and Ad hoc Visit and Patient retrieval utilities. The Query Manager (QMan) Module is a highly powerful and sophisticated Ad hoc query tool, which enables the User to define ad hoc search criteria and generate demographic/clinical reports. Upon course completion, the User will have a working familiarity with QMan terminology and methods of database extraction capabilities; have a better understanding of the PCC definitions; be able to select and generate appropriate reports; be able to formulate and run ad hoc queries; and create registers for high risk patients.
Referred Care Information System (V 2.0)-
Course Description: This hand-on interactive course provides a solid overview and detailed instructions for using the new IHS Referred Care Information System RCIS). The course encompasses two full days of instruction and includes lecture, demonstration, participant exercises and time for questions. The RCIS Package has been designed to automate the Referral process by tracking clinical and administrative data for all referred care, including in-house referrals, referrals to other IHS facilities and referrals to outside contract providers. This automated process provides timely and accurate referral data on individuals and groups of patients for the key clinical and administrative managers at care delivery sites.
Release of Information (ROI) V 2.0-
Course Description: The new 2.0 Distribution - Release of Information (ROI) Disclosure Program is designed to assist Users in the automatic recording and tracking and maintenance of all Requests for Patient Medical Information Data from the IHS field facility. Each Disclosure entered into the system is automatically assigned a Sequential Disclosure Number.

The Program tracks the following information: Requesting Party; Disclosure Record Status; Type of Disclosure (Personnel, Medical, Record, Other); Purpose of the Disclosure (Further Medical Care, Insurance, Attorney, Personal, School, Tort, ROI, Subpoena, Other); Request Priority; Field Staff Assignment; Receiving Parties.

Beginning October 2, 2001, the Freedom of Information Act (IHS Headquarters) requires monthly/quarterly reporting of all “First Party” Requests for Medical Records (Access Requests). This software accommodates the IHS Reporting requirements. This course is designed for Medical Record Supervisors, Lead Medical Records Technicians.


RPMS Point of Sale (V1.0)-
Course Description: The RPMS Point of Sale (POS) Pharmacy Billing package, Version 1.0 is an application that allows prescription drug claims to be transmitted electronically (e-pharmacy billing) to the payer in “real time,” and is also called on-line adjudication. The training is a combination of lecture, assignments and hands-on training at the participants’ home site.
    The three day course will cover a number of topics related to pharmacy billing, including:
  • a detailed description of the different RPMS packages used in e-pharmacy billing, including Patient Registration, Third Party Billing, Outpatient Pharmacy package and RPMS POS.
  • understand how the switch company works and how to research which format to use for a particular payer plan
  • design a process to maximize e-pharmacy billing at your facility
  • references and resources to use when e-pharmacy billing
  • understand how POS is set-up
  • learn how to use the POS package to fix rejections, including DUR’s, prior authorizations, DAW over-rides.
  • identify POS menus and how they are used
  • understand how to interpret POS reports
  • review network agreements and IHS addendum
  • learn how to link formats to RPMS insurers
  • learn how to troubleshoot common POS problems, including stranded claims
  • review process to backbill POS claims
  • review Medicare Part D issues
  • describe audit and quality assurance topics related to e-pharmacy billing.
  • discuss implementation process for National Provider Identifier (NPI)
    Prerequisites: To maximize the POS training experience, a facility should consider sending enough staff that the following RPMS packages/menus are represented:
  • Third Party Billing - table maintenance (setting up pharmacy insurers and setting up groups)
  • Patient Registration - entering/editing eligibility information
  • Outpatient Pharmacy package, manager Menu – editing drug and prescription information
  • POS package installed and current with patches and all menus are represented (POS User, Reports & Manager). It is also highly recommended that the person with the Outpatient Pharmacy Manager keys also have the AVAZPRV key.
  • Accounts Receivable package – to review posting process

Women's Health-
Course Description: The Women’s Health Package is largely a patient management tool for tracking the female breast and cervical treatment needs, the procedures they receive, and the communication between the health care providers and women regarding treatment and follow- up. The software program also provides some program related epidemiological reports useful to clinicians and program managers.
Reference Laboratory Interface - Level III-
Course Description: The capability to interface commercial reference laboratories to the RPMS Laboratory Package was released in Lab Patch 21 in August 2006. The software currently is certified to interface with Quest Diagnostics, Laboratory Corporation of America (LabCorp), Marquette General Hospital, Sonora Quest Laboratory, SCC, and Quest(Unilab). This class is designed for those who plan to use the interface in bidirectional mode which will allow a facility to electronically transmit and receive lab results through the IHS laboratory package. The objectives of this class are to train RPMS Laboratory users on how to activate the interface using the Generic Interface System(GIS), a standard RPMS software release and how to set up the laboratory package files required for using the interface in bidirectional mode. The interface does not use commercial software or hardware such as that supplied by Data Innovations for interfacing laboratory instruments to the RPMS laboratory package. This course is suitable for laboratory staff who have been trained to manage the RPMS Laboratory Package for their facility as well as for IT staff who may be assisting in interface set up and maintenance. Experience in Laboratory Package maintenance and VA Fileman is strongly advised.
