Definitions of class types:

  • eLearning: Instructor-led demonstration via web and phone. This class type does not include hands-on instruction. Participants may join from their home site with phone and computer/internet access.
  • eLearning/Hands-on: Instructor-led demonstration and hands-on via web and phone. Some sessions provide access to an OIT training environment while others require access to a home training environment or test patient. Participants may join from their home site with phone and computer/internet access.
  • Classroom: In-person instructor-led lecture and hands-on in an OIT training environment. Participants must be in the classroom to participate.
  • Satellite Classroom: Area provided proctor supports an instructor teaching via web and phone. This class type includes hands-on in an OIT training environment. Participants must be in the classroom to participate.

     BCMA Configuration & Test

Prerequisite: This BCMA Training and Deployment Activity is strictly for [a] Eligible Hospital [EH] BCMA & eMAR Team Members that must report on the Meaningful Use Stage 2 eMAR Measure in 2014 and [b] Members of the VA-IHS BCMA Cross Functional Team [CFT]. The purpose of the VA-IHS BCMA CFT is to address the goals and objectives identified in the CFT Charter and establish an operational relationship. The CFT will assist and guide implementation and operational use of BCMA in IHS and Tribal Healthcare facilities.

Description: Bar Code Medication Administration [BCMA] assistive technology is a software application which is used by the Veterans Health Administration [VHA] facilities to document medication administration activities and reduce medication errors. Ensuring the software is usable is paramount to successful adoption by the end-users. The primary purpose of this BCMA activity is to both configure and test the [a] BCMA Hardware to include printers, scanners, & labels [b] BCMA RPMS Software, and [c] BCMA Client in preparation for implementing Bar Code Assisted Technology to facilitate the Medication Administration Process and an electronic Medication Administration Record [eMAR] within the Inpatient Setting.

     Behavioral Health System v4.0 Data Entry

Description: The RPMS Behavioral Health System v4.0 provides a graphical user interface to the Behavioral Health System application. The focus of this training is on direct provider entry of clinical data and other functionality in BHS v4.0 GUI. Some of the functionality featured in this training includes electronic signature, enhanced intake functionality, simplified data entry, and modified reports. The Reports and Manager Utilities modules of BHS v4.0 are not in the GUI format and an introduction to these functions will be conducted in the RPMS traditional “roll and scroll” format. Over the course of the two-day training the following areas will be covered: Data Entry Menu: to record, display and print clinical data related to client care including individual and group encounters, treatment plans, suicide reporting forms and case management information Reports Menu: An introduction to tracking and managing patient, provider, and program activities and statistics Manager Utilities Menu: An introduction to setting site-specific parameters related to security, program management and exporting data to the Area offices and HQE

     BHS v4.0 Manager Utilities & Reports

Prerequisite: RPMS experience

Description: The BHS v4.0 Manager Utilities and Reports course is an advanced class for behavioral health Program Managers and/or Clinical Directors who are responsible for internal and external reports and exporting of behavioral health data. The class will be taught primarily in the roll and scroll version of the software therefore, proficiency in RPMS is strongly encouraged. Over the course of the two-day session, the training will focus on: Site Parameters in the Manager Utilities module: Exploring set up of the site parameters including discussion of access to records, coding queue, links to PCC, etc. Data Entry Module: Generating “canned” reports that are available on the data entry menus such as Treatment Plans Needing Reviewed, GAF scores for one Patient, No Show report for a patient, etc. Reports Module: Producing other management reports that are only available in the reports module exploring the functionality of the GEN and PGEN reports including exporting the information to a spreadsheet. Emphasis is placed on preparing the participants to generate reports that enable them to provide the outcome information for grants or to provide standardized reports to governing bodies, tribal leaders, etc.

     Diabetes Management System

Description: The Standard IHS Diabetes Register in RPMS is a basic tool for keeping a list of your diabetes patients, their disease type, complications, case review dates, etc. The Register facilitates the addition, inactivation, and removal of patients from the Register. The system capitalizes on data contained in the PCC and minimizes redundant data entry for local Diabetes Coordinators. Detailed instructions for implementing and utilizing the Diabetes Management System are featured in this course: The Diabetes Register, Diabetes Flow Sheet, Diabetes Health Summary, Monitoring of Care Items, Automated Diabetes Audit Program/Reports Module, and Accessibility to all PCC Clinical Data are explored during this course.

Description: Audience: Newly-hired PCC Data Entry Operators, other Operators without formal PCC training, and experienced Operators needing a refresher course or needing an update on new features of the PCC Data Entry System. Objectives: Students will learn about the Patient Care Component and its relational file structure. Students will learn to review a variety of PCC Encounter Forms and abstract appropriate data into the PCC utilizing some 100 data entry mnemonics. Students will learn ICD Coding skills and use of the PCC ICD Coding Tool. Students will learn how to display visits and produce health summaries to validate what they have entered. Students will learn how to modify and delete erroneous data. Students will learn how to merge and transfer data from multiple visits into the appropriate PCC visit record. Teaching Method: The course consists of a video presentation, lecture with handouts, and numerous computer hands-on exercises and practice sessions.

Description: Audience: Health care providers, facility and program administrators, medical records personnel, planners and epidemiologists, and information systems personnel. Length: 3 days. Hours: 8:30 - 4:30 daily. Objectives: Students will be able to formulate and execute ad hoc searches of the PCC database to produce lists of patients with various medical conditions and patients with important service needs such as immunizations, pap smears, health education, and specialty care. Students will learn to produce age distributions, custom letters, and mailing labels for patients selected in ad hoc searches. Students will learn to select and execute reports for facility and program management, quality assurance, workload statistics, and community epidemiology. In addition, students will learn to capture or store files of PCC data and export those files to Excel. Teaching Method: The course consists of two sections: QMan, the PCC Ad Hoc Query tool and PCC Management Reports with a focus on using VGEN for ad hoc reporting and exporting data to PC based programs such as Excel. Each section consists of lecture with overheads, demonstration of the tool, and hands-on exercises utilizing individual computer terminals for each student and a simulated patient database.

Description: This training will focus on documentation of incidents of suicide, including ideation with plan and intent, attempts and completions using the RPMS Suicide Reporting Form [SRF]. At the conclusion of this 90 minute training participants will be able to: 1. Increase awareness and use of the RPMS Suicide Reporting Form 2. Provide guidance on completion of the RPMS Suicide Reporting Form 3. Increase RPMS SRF exported data The target audience is any provider, clinical supervisor or health care administrator located at a facility that utilizes RPMS.
