Under direct supervision of the Dental Supervisor (and Business Office Manager), assist the dentist, registered dental hygienist, and dental assistants to schedule and coordinate quality dental care to patients, and to help organize the daily operations of a dental clinic to operate in an efficient, cost effective, and productive manner. |
| Duties: | ESSENTIAL DUTIES AND RESPONSIBILITIES: Greet patients; face to face and, or, over the phone Answer phone calls, manage messages, and distribute triage messages appropriately to dental assistants, and/or providers Register new and current patients in compliance with protocol Help patients fill out all necessary paperwork and documentation to be seen at the dental clinic Update patient information, dental insurance, and income verification for a sliding fee Inform patients of policies in regard to the dental procedure, financial agreement, tardiness, less than 24 hours cancellation, and no shows Manage patient records in a secure and confidential manner in compliance with HIPAA Schedule dental appointments with respect to established schedule templates for providers Confirm upcoming appointments, and fill in cancellations and no shows Coordinate referrals to ensure patients receive recommended care with specialists Coordinate lab cases to the dental lab(s) in an appropriate time and manner Collect and arrange patient payments Manage and arrange electronic claims for dental payments/reimbursements Assist business manager and dental director to capture annual visits and payments/ reimbursements in a timely fashion Coordinate providers' schedules to maximize quality care for patients to finish needed dental treatment in a timely manner. On a monthly basis, capture patient visits and payments. Responsible for making a daily Dentrix back up on an external hard drive and keeping it secure. Treat patients with dignity and respect. Monitor insurances reports for denied claims, determine the reason for the denial, correct any errors and resubmit the denied claims. Maintain strict department security, confidentiality, and quality to meet the professional standards of the department. Assist and Process Sliding Fee Scale Discount Program applications with/for patients in accordance with office protocol. Screen patients for COVID-19 (e.g. take temperature, ask screening questions, etc. Additional duties as assigned. |
| Qualifications: | QUALIFICATIONS: Minimum of 2 years of front desk dental office experience preferred Knowledge of dental insurance verification and billing processes Knowledge of dental terminologies and dental procedures Knowledge of patient evaluation and triage procedures. Knowledge of planning and scheduling techniques. Knowledge of Federal, State, and institutional regulations and guidelines for the provision of dental outpatient services. Knowledge of private and State dental insurance. Knowledge of Federal, State and Private dental insurances. Able to calculate to an approximation patients Co-insurance and Co-pays when applicable. Skill in operating business computers and/or machines, including in a Windows environment, specifically Word, Excel, Access, and presentation software (such as PowerPoint) and electronic dental records software such as Dentrix. Ability to work as a team member within a clinical environment and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels. Ability to operate, maintains, and troubleshoots a wide range of dental software and equipment in accordance with prescribed procedures and standards. Ability to communicate effectively in the English language, both verbally and in writing. Ability to obtain CPR Certification within six (6) months of employment. Must maintain certification during the tenure of employment. Must adhere to strict confidentiality in all matters. (Must sign a confidentiality statement prior to employment.) Must be willing and able to obtain additional education and training. EDUCATION: High School Diploma, HSED Diploma or GED Certification is required. Applicants age 50 and older are exempt from this requirement. |
